Time, place, format and sessions

When is the conference?

Our National Conference 2025 takes place from Wednesday 2 to Friday 4 July 2025.

The first day (Wednesday) starts with registration from 10:30 and lunch at noon. The first session starts at 13:00, and the last session on Friday 4 July ends at 13:30, followed by lunch.

Where is the conference taking place?

The conference takes place at The Eastside Rooms, Birmingham, United Kingdom.

What’s the format of the conference?

This is an in-person conference. After the welcome and keynote sessions, happening in Affinity 1 (the main conference room), we’re running four different sessions concurrently so you can decide which session you want to attend. The sessions are held in the same four rooms throughout the conference (on the ground floor and first floor), so you can familiarise yourself with the conference venue really quickly. You don’t need to register to join the sessions, you can decide on the day. Keep in mind that if a room is at capacity, we may ask you to choose another session.

Will the sessions be recorded and will I get the presentations and resources after the conference? 

We won’t record or live stream the sessions, but we’ll share the resources (presentations, handouts) from the sessions with all delegates a fortnight after the conference. Even if you register for only one day of the conference, you’ll get the resources for the entire conference.

Can I choose my sessions in advance?

You don’t need to choose sessions in advance, you can decide on the day. This gives you flexibility in case you change your mind. Do keep in mind that if a room is at capacity, we’ll ask you to choose another session to join. Check out the full programme:

Booking and tickets

How much does the conference cost?

We have a range of ticket options to suit you. You can choose to stay onsite at the Aloft Hotel (which is on the same site as the Eastside Rooms) with a residential ticket for the duration of the conference, or you can choose a three day non-residential ticket and book your own accommodation. You can also select to come for single days if you prefer, but this doesn’t include accommodation.

What does a residential place include?

Residential places are for all three days of the conference, including accommodation for two nights at the conference venue with all meals, and all evening events.

Can I book a place for one or two days as a residential delegate?

Residential places are for the full three days of the conference only. You can book as a day delegate, however this doesn’t include accommodation. Day delegate places include lunch and refreshments on the day only. Day delegates can attend the evening events on Wednesday 2 and Thursday 3 July for an extra charge.

Will I get accommodation if I’m only attending for one or two days?

No. Day delegate places don’t include accommodation. Day delegate places include lunch and refreshments on the day only. Day delegates can attend the evening events on Wednesday 2 and Thursday 3 July for an extra charge. If you require accommodation for one night only, you can book a day delegate ticket and then source your own accommodation for one night. There are plenty of hotels in Birmingham to choose from.

Can I attend the evening events if I’m not a residential delegate?

Yes, you can book to attend the evening networking events on Wednesday 2 and Thursday 3 July, whether you're a day delegate or not. These events include a welcome drink and dinner. If you’ve booked as a residential delegate, the evening events are already included.

Can I split my residential or three day ticket between different people?

No. We don’t accept changes of delegate for single days of a residential or three day National Conference booking. See our booking terms and conditions.

I work for an AMOSSHE member organisation. Can I get a cheaper rate?

You can only get the member rate to attend the conference if you’re a named AMOSSHE member. You need to log in to access this rate.

Other employees of an AMOSSHE member organisation (who aren’t named members) must pay the member colleague rate. You can find out whether your organisation is a member of AMOSSHE here:

Who qualifies for the corporate rate?

Corporate rates apply to ensure a good mix of sector representatives at the conference. The rates apply to delegates working for corporate, for-profit organisations who aren’t AMOSSHE members.

Can I get a refund if I need to cancel my place?

Yes. You can get a refund if you cancel your place 14 calendar days before the start of the event. See our booking terms and conditions for further information on how you should do this.

I can no longer attend. Can someone go in my place?

If you want to change a booked delegate for someone else, please contact the National Office at [email protected]. The cost of a place at an event differs depending on whether the delegate is a named member or is associated with AMOSSHE. We won’t charge a fee for any delegate substitutions made 14 calendar days before the start of the event, and we can’t permit substitutions within 14 calendar days of the start of the event.

When does booking close?

Booking closes on Friday 13 June 2025.

Accommodation

What accommodation is available?

If you booked a residential ticket you’re staying in Aloft Birmingham Eastside hotel, which is attached to The Eastside Rooms. You have bed and breakfast accommodation for Wednesday 2 and Thursday 3 July 2025.

If you haven’t booked a residential ticket and you need accommodation for the event, you must book this separately. AMOSSHE can’t book accommodation for you. If you want to stay at the event venue before Wednesday 2 or after Thursday 3 July, go to the venue website or give them a call to secure the best rates. Find out more.

When can I check in and when is check out?

You can check in on Wednesday 2 July from 17:10 (after the first day of the conference finishes). The hotel team can store your luggage until you check in.

Check out is at 12:00 noon on Friday 4 July. The hotel team can store your luggage until the end of the conference.

Does the venue have wifi?

There’s free wifi for conference delegates. Use the network Eastside Rooms WiFi. There’s no password, just enter your details, accept the terms and conditions, and connect. Please note that this is a public network.

Will I get accommodation if I’m only attending for one or two days?

No. Day delegate places don’t include accommodation. They include lunch and refreshments on the day only.

Can I get a discount to stay extra nights?

We don’t have an agreed discount with the conference venue for delegates wishing to stay additional nights outside of the conference, but you’re welcome to contact the Aloft Hotel reservations team on +44 (0)121 820 6000 to check availability and rates.

What does a residential place include?

Attire, networking and fun stuff

What should I wear and bring?

The dress code for the event is smart-casual. We recommend you dress in layers to account for fluctuations in temperatures. For the gala dinner event on Thursday evening, we encourage you to dress up a little more.

Please bring your smart phone, tablet or similar device to access the event website.

How can I network with people?

Networking at AMOSSHE conferences tends to be informal, so you probably won’t need copies of your CV or anything like that. But bring your business cards so that you can keep in touch with the people you meet.

Are there any other activities I can join?

You can take part in a tour of an AMOSSHE member higher education provider campus in Birmingham before the conference starts on Wednesday 2 July 2025.

Exhibitor FAQs

What do I need to provide you as a National Conference 2025 exhibitor sponsor?

Please provide us with the names of two delegates taking the residential places, which are included in your sponsorship package. We also need their email address, job title, access requirements, dietary requirements and preferred pronouns. Please do this at your earliest convenience. Booking closes on Friday 13 June and we won’t be able to add any delegate names after this date.

You may also wish to have a page on our website connected to this event. Please provide us with the details you would like us to add to your page, including your organisation URL and contact details, an introduction description of your organisation, embedded video links, and links to your social media accounts.

What if I want to book additional conference tickets for my colleagues?

You can book extra tickets online. You may need to register to get your login details. Please ensure you choose the correct Corporate ticket type. Please note the booking deadline is Friday 13 June.

Can I bring a colleague to just present our session?

Yes, but they must register as a delegate for at least the day on which their session takes place. If your speaker represents a charity or similar organisation, get in touch at [email protected] and we may be able to support them to attend.

When will I receive the delegate list?

We’ll send this to you one week before the event, as stated in your sponsorship agreement. This list includes the names, job titles, email addresses and organisations of attendees who choose to be listed.

How do I choose my exhibition stand position?

You can choose your stand position in the exhibition area. Each sponsor chooses in the order in which they signed up for a conference sponsorship package. We’ll send you an email with a copy of the exhibition plan and a tight deadline for letting us know which stand position you want. If you miss your deadline for response, we’ll send the plan to the next sponsor for them to choose. We need to do this so that we have time to get decisions from all our sponsors. We’ll begin sending this out week commencing 9 June 2025.

Where do I send all our conference materials to and when can I send this by?

You can deliver your conference materials to the conference venue no earlier than Monday 30 June (two days prior to the event) and no later than Tuesday 1 July. You must clearly label all items with your organisation name and AMOSSHE National Conference 2 to 4 July 2025. You must make your deliveries through the Eastside Rooms loading bay, situated at the rear of the venue, accessible by the service road off Jennens Road. The delivery address is:

When can I arrive at the venue to start setting up my exhibitor stand?

The conference begins on Wednesday 2 July with lunch from 12:00 to 13:00. You can arrive to start setting up your stand in the exhibition suite (Affinity 2) from 07:00 on this day. You can check in to your hotel room from 15:00, but the venue can store your bags until then. 

How big is my space in the exhibition area?

The size of the space is 215 cm wide by 150 cm deep. We provide:

  • One six foot (183 cm wide) table.
  • Two chairs.
  • Two power points.

Please let us know if there’s any equipment that you don’t want set up in your exhibition space.

What can I bring for my exhibition stand?

That’s really up to you. You can have a simple setup with some information about your company, or you can have a more elaborate setup with equipment and freebies to give away. We have had both at our conferences for many years. If you’re intending to give anything away (freebies, gifts) we suggest that these are sustainable (recyclable, compostable, made of recycled materials) where possible, as our delegates will really appreciate that.

Please note that any equipment left in the exhibition area is not AMOSSHE’s responsibility. We can store expensive equipment in our staff room, but we can’t be held responsible if anything goes missing.

Can I request AV equipment for my exhibition stand?

You can liaise directly with the hotel’s AV supplier to hire any equipment for your stand. Email [email protected]. Please submit your requests no later than Wednesday 25 June.

Can I attend the sessions at the conference as an exhibitor?

Yes, you have full access to join the sessions throughout the day. If you leave your stand unattended, we’re not responsible for any equipment that could be left and/or lost.

When do I need to take down my exhibitor stand?

The conference finishes after lunch at 14:30 on Friday 4 July 2025. You need to start disassembling your stand at this point and prepare for items to be collected.

All items must be collected by Saturday 5 July 2025. Items must be clearly labelled with your organisation name, destination and the courier who’s collecting them. It’s your responsibility to ensure collection of any items left at the hotel. Any items left for longer than seven days will be disposed of by the venue.

Check out for your bedroom is noon on Friday 4 July. The hotel can store your bags until the end of the conference.

Why isn’t there an exhibitor rate?

It’s difficult for our team and the hotel to know who are just exhibitors at the conference, rather than delegates. In previous years we found some exhibitors were attending delegate events and activities that they hadn’t paid to attend, which meant we needed to charge them after the event. To avoid the difficulty and time of this for our small team, all attendees at the conference are delegates.

Speaker FAQs

As a speaker, do I need to book as a delegate?

Each session leader and co-presenter must register as a conference delegate for at least the day on which their session takes place, unless we’ve told you otherwise. Unfortunately, we can’t contribute to your expenses (for example, travel, accommodation).

We may need to re-allocate rooms at short notice. If this happens we’ll tell you by email.

What equipment do you provide for me to deliver my session?

We provide you with a laptop to run your presentation, a top table and chairs, and a microphone to use on the day. To ensure a good conference experience for delegates with hearing impairments, please use the microphones to deliver your session.

If you require printed documentation for your session, please make sure you bring this with you, as we can’t print materials for you. And please let us know if you have any specific requirements for your session, or if there’s anything in particular about your session you need help with.

When do you need my presentation?

To ensure a good conference experience for delegates with visual impairments, we share the event resources with them in advance so that they can use their reading assistance software. Please email your presentation to [email protected] as soon as possible, and no later than Tuesday 24 June 2025.

Please ensure that your presentation and other materials are clear, paying particular attention to the font size and contrast of the slides. If you intend to play videos, please notify us as soon as possible.
